Professional minute-taking, AGM support, and governance documentation for condominium corporations. Delivered by a Chartered Governance Professional, not an administrative freelancer. In-person across Ontario, remote across Canada.
Outsource minute-taking to a governance professional and lift the quality your boards see. Reliable turnaround, consistent format, and a documentation standard that holds up under scrutiny.
Smaller corporations without a property manager need defensible records and procedural clarity. We bring both, without the overhead of a full management contract.
When a client needs governance support that complements legal counsel (minute books reconstructed, AGMs documented properly, registers brought current), we are a reliable referral.
Attend, record, draft, and deliver. Defensible minutes that capture decisions accurately, reflect proper procedure, and stand up if challenged.
Once minute-taking is in place, boards often want more. We can extend into related governance work that keeps your records and processes coherent.
Every building is different. Meeting length, board complexity, format, and travel all shape the right structure. We quote after a 30-minute call so the engagement actually fits, rather than forcing your building into a published rate card.
For boards that want to try us before committing, or have a one-off AGM or special meeting coming up.
For boards with a predictable meeting cadence. Best value, priority scheduling, and a consistent documentation standard across the year.
For management firms wanting a preferred minute-taking provider across multiple buildings. Custom structure, bulk terms.
Service area. In-person attendance: across Ontario, including Toronto, GTA, Hamilton, Kitchener-Waterloo, Ottawa, and surrounding regions. Remote attendance via Zoom or Teams: anywhere in Canada. Travel terms are part of the engagement quote.
The person taking your minutes shapes what your board can defend, what your records prove, and how your decisions read three years from now in a unit-owner dispute or a lender's diligence. That deserves more than a transcription service.
Minutes drafted by a Chartered Governance Professional with multi-jurisdictional credentials, not an administrative freelancer. Documentation grounded in formal governance practice.
We notice when a motion is improperly framed, when quorum is questionable, or when a conflict needs declaring. Quiet guidance to the chair, captured properly in the record.
Minutes that capture decisions accurately, reflect the procedure followed, and hold up if a unit owner challenges a decision or a lender reviews the record during a transaction.
Standardised template across meetings, version-controlled drafts, 48-hour turnaround as the default. Your records read as one coherent body of work, not a patchwork.
30-minute call to understand the building, the board's cadence, and the documentation standard you need.
Scope, fees, and turnaround in writing. Clear boundaries between governance support and management services.
Live attendance, draft within 48 hours, one round of board revisions, final delivery in standardised format.
Minutes filed in the minute book, registers updated where needed, ready for the next meeting cycle.
No. Minute-taking and governance documentation are administrative work, not condominium management services as defined by the Condominium Management Services Act, 2015. The CMRAO licence regulates handling of funds, contract signing, supervision of staff, and delegated board authority. Documentation support sits outside that scope, and we keep it that way explicitly in our engagement letter.
Minutes that accurately record what was decided, reflect the procedure followed (motion, second, vote, quorum), capture conflict-of-interest declarations correctly, and use language that reads cleanly under later scrutiny. The test is whether the record protects the corporation and its directors if a decision is challenged.
Both. Property management firms typically engage us as a preferred minute-taking provider across multiple buildings, with a master agreement and a custom retainer structure. Self-managed boards engage us directly. We are happy to be added to a property manager's preferred-vendor list.
In-person attendance: across Ontario, including Toronto, the GTA, Hamilton, Kitchener-Waterloo, Ottawa, and surrounding regions. Remote attendance via Zoom or Teams: anywhere in Canada. Travel terms are part of the engagement quote.
Yes. We do minute book clean-up and reconstruction work as a separate engagement. This is common before a sale, lender diligence, or a governance review. Quoted on a fixed-fee basis after a brief assessment of what exists.
Yes. Professional liability insurance covers all governance support work, including condominium engagements.
Governance 360 provides governance documentation and administrative support to condominium boards. We are not a CMRAO-licensed condominium management provider, and our scope does not include handling of corporation funds, signing contracts, or supervising staff on behalf of the corporation. For those services, condominium corporations should engage a CMRAO-licensed manager.
